How to Archive Emails:

The first step we want to take is to check our spam folder titled “Junk Email” and empty that out.

Hover over the Junk Email folder, you will see three dots appear on that folder, click the three dots and click Empty.

This will create some storage space right away.

Next check your “Deleted Items” folder and empty that out as well to create additional storage space.

Hover over and click the three dots then click empty.

Once the above two steps are completed, we can move on to Archiving.

Archiving is the process of moving old or less frequently used emails from your primary inbox to a separate, organized location. This helps keep your inbox clean, makes your emails easier to find, creates a backup of your emails in OneDrive. and saves space in your email account.

If you have emails dating back 5 years, then you want to Archive emails from the last 4th and 5th year. If you still need additional space, you can archive year 3 and year 2 as well. Remember once you archive and you need to search for an email you will go to the saved folder’s location on your computer where the emails were archived to.

If you are using the New Outlook application, you want to make sure to switch to the Classic Outlook application, open this by going to the start menu, search for outlook, you will find Outlook (classic):

Example: Archiving all emails from 2021.

Start by going to File, ensure the right mailbox is selected then > Tools > and click on Clean Up Old Items:

Next, find the correct folder that you would like to archive items out of and click select a date of items older than, pick the month day and year you want emails archived from:

Next click on Browse, this will open up a file explorer window. Here you want to find the directory that this “.pst” outlook file will be saved to. This file has all of the emails older than the date selected above. Ensure you save this under Name – C21Circle or Name - Acuity TC.

We recommend you navigate to Documents and then create a new folder and name it “Archived Email Folder”

Navigate into the Archived Email folder by clicking on Open or double clicking the folder. Repeat the same steps and create another new folder that will have the date selected, such as “12.31.2021 and Dating Back.” Double click or click open to move into this folder.

Click on Ok to save the “archive.pst” file in the “xx.xx.xx and Dating Back” folder that is in your Archived Email Folder which sits in Documents.
You are now done and have this file permenantly saved and backed up within your one dive and have officially saved storage space by getting emails older than the selected date out of your Outlook Application.
